All items and filters

Free

On this page

All items is every item in your vault in one list, newest first, whichever folder it’s in. Filters narrow it down when the list gets long.

What it is

Open it from the Vault: More → All items. The number next to it is how many items you have.

Because filing is a label rather than a move, All items always shows everything, filed or not. Each card that’s in a folder shows its folder path underneath, like “Taxes › 2026”, so you can see where it lives.

Hidden items and items in Recently deleted are never in All items, and never in its count.

When to use it

  • To find something when you don’t remember where you filed it.
  • To tidy up: find what isn’t in a folder yet, or everything from one source.
  • To work on many items at once with Select.

Step by step

Use the quick chips

Under the search field, a row of chips filters the list with one tap:

  • All clears every filter.
  • Inbox · 2 shows items received by Forward by email and not filed yet (only while there are some).
  • Not in a folder shows items you haven’t filed (only once you have folders).
  • Type chips, for the types you have: Receipts, Bills & invoices, IDs, Cards, Notes, Files, Contracts and Other.

Tap a chip again to turn it off.

Use the Filter sheet

  1. Tap the filter button at the top right (labelled “Filter” for VoiceOver). It appears once there’s something to filter.
  2. Choose under Type, Source and Sender:
    • Type: the same groups as the chips.
    • Source: Scanned, Imported, Shared from another app, Email, Received link, Created in Paperwise, Merged or split. Only the sources you have are listed.
    • Sender: appears when you choose Email and lists who sent you items, with a count for each.
  3. Tap Done. Tap Clear to remove every filter.

Choices in different sections narrow each other (Type and Source). Choices in the same section add up (Receipts or Bills & invoices). Filters last until you close Paperwise.

Search inside All items

Type in Search all items at the top. Search works together with your filters, so you can search only your receipts, for example. See Search your vault.

File the Inbox

With the Inbox chip on, the list shows “Received by email. Move items to a folder or mark them as filed.” Tap Mark all as filed to clear them all from the Inbox, or file items one by one.

Work on several items

  1. Tap Select at the top, or long-press an item and tap Select.
  2. Choose items, then tap Share, Move, Merge (two or more scans), More or Delete.

Free and Pro

All items, filters and Select are free. Items arrive in the Inbox only through Forward by email, which is Pro.

Privacy

  • Filtering and searching happen on your iPhone. Nothing is sent anywhere.
  • The list is protected by Face ID on this iPhone when the app lock is on.
  • Sender addresses for emailed items are part of what’s sealed to your devices when the email arrives; on your iPhone they’re kept in Paperwise’s encrypted database.

Tips

  • To find what still needs filing, tap Not in a folder.
  • On iPad, tapping an item opens it beside the list, and ↑/↓ move through the list.

What if…

What if the filter button isn’t there?

It appears once your vault has something to filter by. With a new vault there’s nothing yet.

What if the list says Nothing matches these filters?

No item fits every filter at once. Tap All, or remove a filter in the Filter sheet.

What if I don’t see the Not in a folder chip?

It shows only when you have at least one folder and at least one item that isn’t in a folder.

What if an item is missing from All items?

Check Recently deleted on the Vault. If you hid it, it’s in Hidden, which All items never shows.
