Extract details

Extract reads a document with AI and lays out its key details as tidy, editable fields: the total and date on a receipt, the due date on a bill, the name and phone number on a business card, the number and expiry date on an ID.

What it is

Extract sends the document’s text and an image of its first page to our AI provider, which returns the details it finds for that kind of document. Paperwise shows them as a list of fields, with the document’s type at the top. For example:

Business card	Name, job title, company, phone numbers, email addresses, website, address
ID document	Name, date of birth, document number, expiry date, issuing country

Anything that isn’t clearly on the page is left empty rather than guessed. Every field can be corrected by hand.

The details are saved with the document. They also become part of what the vault’s search looks through, so you can find a receipt by its total or a card by a phone number.

When to use it

Expenses: get the date, vendor, tax and total of a receipt without typing them.
Bills: check the amount and due date at a glance.
Business cards: add someone to Contacts in two taps.
IDs: have the document number and expiry date ready to copy into a form.

Step by step

Extract the details

Open a document and tap Ask in the toolbar.
Tap Extract.
The first time you use AI on this document in this app session, a notice appears: “AI is on for this document. Its text and first page are sent to our AI provider to pull out the details.” followed by what our provider may keep. Tap Continue, or Cancel to send nothing.
Wait a moment while Paperwise shows “Pulling out the details…”.
Read the fields. Line items and other lists appear in their own sections below.

Correct and save

Tap any field and type the right value.
Tap Save changes.

Use the details

On a receipt, invoice or bill, tap Copy as CSV row to copy one spreadsheet row with the date, vendor, number, subtotal, tax, total and currency, in that order. Paste it into Numbers, Excel or Google Sheets.
On a business card, tap Add to Contacts to open a new contact already filled in with the name, company, job title, phone numbers, email addresses and website.

Extract again

Tap Extract again at the top right to ask AI for a fresh reading, for example after you’ve added pages or used Read handwriting. This replaces the fields you see.

Free and Pro

Extract is part of Pro. On Free, the menu shows Extract (Pro) and opens the plan screen.

Each extraction is one AI action, including Extract again. Opening Extract on a document that already has saved details shows them straight away and doesn’t use an action. See AI limits and usage.

Privacy

Privacy: Extract sends the document’s recognised text and an image of its first page, reduced to at most 1600 pixels on its longest side. Our server processes it in memory and doesn’t keep it. Our AI provider (OpenAI) receives it with storage turned off and no user or install identifier; it doesn’t train on it, but may keep it for up to 30 days for abuse monitoring.

The screen says so too, at the bottom: “Our AI provider read this page to pull out these details and may keep it for up to 30 days. Paperwise’s server keeps no readable copy.”

IDs, bank papers and medical papers are exactly the documents you may prefer not to send. You can mark any document ••• → Never send to AI, or keep it in Hidden, which never reaches AI. See What AI sees and keeps.

Tips

The type tag at the top shows what AI took the document for. If a receipt came back as something else, the fields may not fit; check the scan is clear and try Extract again.
Numbers come back as plain decimals with a dot (1234.50) and dates as year-month-day, so they paste cleanly into spreadsheets.
Extract looks at the first page’s image together with the whole text. For a multi-page invoice, the totals are usually found in the text even when they’re on a later page.

What if…

What if a field is wrong or missing?

Tap it, type the right value and tap Save changes. A blank field means AI didn’t find that detail clearly on the document.

What if it says “Extract uses AI. Nothing was sent.”?

You tapped Cancel on the notice. Tap Try again and choose Continue if you want to go ahead.

What if I don’t see Copy as CSV row or Add to Contacts?

Copy as CSV row appears for receipts, invoices and bills. Add to Contacts appears for business cards. For other types, copy fields by selecting them.

What if Extract says I’ve used today’s AI actions?

You’ve reached 20 actions today or 300 this month. Saved details still show; a new extraction waits until the limit resets.
