Rename, file, duplicate and delete

On this page

The ••• button at the right end of a document’s toolbar holds the everyday housekeeping: renaming, filing, copying, changing the type and deleting. It also holds Never send to AI and Move to Hidden, which have their own article.

What it is

Tap ••• (More) on a document to see:

Item What it does
Rename Gives the document a new title.
Add to folder Files the document in one of your folders.
Mark as filed Only for items received by email: takes them out of the Inbox.
Duplicate Makes a full copy of the document.
Change type… Sets what kind of paper it is, such as Receipt, ID or Tax.
Never send to AI, Move to Hidden Keep it away from AI, or move it into Hidden. See Protected documents, Never send to AI and Hidden.
Delete Moves the document to Recently deleted.

Notes, cards and files have the same ••• menu, with a few extras of their own (for example Edit card, or Make it a scan and Sign for a PDF, image, Word, Excel or PowerPoint file).

When to use it

  • The automatic title (such as “Scan, 27 Oct 2026, 14:05”) doesn’t tell you what the paper is.
  • You keep your car papers, taxes or school forms together in a folder.
  • A bill arrived by email and you’ve dealt with it.
  • You want to mark up a copy and keep the original clean.
  • The type is wrong, for example a letter filed as a bill.
  • You no longer need a document.

Step by step

Rename a document

  1. Open the document.
  2. Tap the title at the top, or tap ••• → Rename.
  3. Type the new title and confirm.

A title you type yourself is kept: the AI helper never renames a document you’ve named.

Add a document to a folder

  1. Open the document and tap ••• → Add to folder.
  2. Pick a folder, or tap New folder… to make one. You see “Moved to” and the folder’s name.
  3. To take a document out of its folder, choose No folder.

Each document is in one folder at most, so adding it to a folder moves it there. Folders can hold other folders; see Folders inside folders.

Mark an emailed item as filed

Items that arrive through Forward by email (Pro) wait in the Inbox on your Vault until you deal with them.

  1. Open the item and tap ••• → Mark as filed. You see “Marked as filed”.
  2. The item stays where it is in your vault, but leaves the Inbox.

Adding the item to a folder also takes it out of the Inbox. To clear many at once, open Vault → Inbox and tap Mark all as filed. More in Forward by email.

Duplicate a document

  1. Open the document and tap ••• → Duplicate.
  2. You see “Duplicated”. The copy is named after the original with “(copy)” at the end, and is in the same folder.

Change a document’s type

  1. Open the document and tap ••• → Change type….
  2. Pick a type: Receipt, Invoice, Bill, Bank statement, ID, Business card, Contract, Letter, Form, Notes, Whiteboard, Book page, Academic, Medical, Tax, Certificate or Other.

The type decides which shelf the document is on. It also decides its protection: IDs, medical papers, bank statements and tax papers have locked previews and ask for Face ID to open, share or export. Changing the type to something else removes that at once, after Face ID; changing it back brings it back. Notes, files and cards have Change type… too. See Protected documents, Never send to AI and Hidden.

Delete a document

  1. Open the document and tap ••• → Delete.
  2. Confirm with Delete. The document moves to Recently deleted for 30 days.
  3. Changed your mind straight away? Tap Undo in the “Moved to Recently deleted” message.

To get a document back later, go to Vault → Recently deleted, tap it and choose Restore. See Recently deleted.

Free and Pro

Everything here is free. Mark as filed only appears on items received by email, which needs Pro.

Privacy

  • Renaming, filing, duplicating and deleting happen on your iPhone. Titles and folder names are kept in Paperwise’s encrypted database.
  • With sync (Pro) on, the change reaches your other devices encrypted; our server can’t read titles or folder names.
  • A copy made with Duplicate keeps the type and the Never send to AI mark of the original: a copy of an ID is protected too. A copy is never named automatically by AI.
  • Deleting moves a document to Recently deleted, still on your iPhone, for 30 days. Items in Hidden are different: deleting one there is immediate.

Tips

  • Short, specific titles work best with the vault’s search: “Car insurance 2026” rather than “Document”.
  • Use Duplicate before signing or annotating if you want to keep an untouched version.
  • In All items, the Not in a folder filter shows what you haven’t filed yet.

What if…

What if I don’t see Mark as filed?

It only appears on items received by email that are still in the Inbox. Once an item is filed (or added to a folder), the option goes away.

What if the title keeps changing by itself?

With Pro’s Name and sort new scans on, the AI helper names new scans after you add them (never protected ones, such as IDs). Once you type a title yourself, it’s kept.

What if I deleted something more than 30 days ago?

Documents are removed from Recently deleted after 30 days and can’t be restored from there. If you use Paperwise’s encrypted iCloud backup, see Restore from backup.

What if Rename doesn’t save?

An empty title isn’t saved. Type at least one character; titles can be up to 120 characters long.
